The Password on the Noticeboard

When a charity opened a shared workspace, coordinator Ben printed the wireless password on a large noticeboard. It was intended as a gesture of welcome. Three weeks later, a visitor showed him a folder visible from her laptop. It contained volunteer schedules, donation receipts and notes about families receiving support. She had found it while looking for the printer.

Ben disconnected the shared drive and thanked her, although his first impulse had been to ask why she had been exploring. The folder had been available because he had set up the network himself using an old office computer. There was no mysterious intruder to blame. Convenience had connected public visitors to a space that staff assumed was private.

The trustees asked whether they really needed to tell the affected families. They had no evidence that anyone else had opened the documents, and an announcement might damage trust. Ben argued that people could not make informed choices about their own information if the charity concealed the mistake. He prepared a notice explaining what had been exposed, what remained unknown and whom to contact.

A technician separated the visitor connection from the staff network. Ben delivered several notices personally, including one to a woman who had previously praised the charity's discretion. She listened without reassuring him. Later, she asked for her old records to be removed where possible. He followed the new review process rather than making a promise he could not keep. The wireless password stayed on the noticeboard; access behind it changed completely.
