Handing Over the Keys to the Project Room

For three years, Elsa had coordinated a small room used by neighbourhood project groups. She managed bookings, answered questions and kept the cupboard keys. When she decided to step down, everyone thanked her warmly. However, two weeks before her last day, nobody knew how the booking system actually worked.

Elsa had written a short list of passwords and procedures, but much of the useful information remained in her head. The caretaker needed notice before evening meetings. One key stuck unless it was turned slowly. A cupboard contained spare signs that nobody else remembered. She realised that a list was not enough.

She invited the new coordinators to manage a real booking while she watched. They asked questions she had not thought to include, such as what happened when two groups wanted the same evening. Elsa wrote the answers into a shared guide and removed details that no longer matched the current arrangements.

On her final afternoon, she handed over the keys without offering to answer messages forever. The new team had the guide and a scheduled meeting for any remaining questions. A month later, she attended a drawing session as an ordinary participant. Someone else unlocked the door, and Elsa went straight to a table, carrying only her pencils and a sheet of paper.
