A Public Apology Written in Draft

A regional gallery accidentally emailed its donor list to everyone on that list. Director Quinn asked assistant Rosa to prepare an apology immediately. Under pressure, she used a writing tool and pasted in the original email so it could understand the situation. Halfway through, she realised that the message included the very addresses the gallery was trying to protect.

Rosa closed the tool, but knew that closing a window was not the same as retrieving submitted information. She considered leaving this detail out of her report. Nobody else had seen her screen, and the apology draft sounded excellent. Yet the second exposure mattered precisely because it had occurred while the gallery was explaining the first one.

She told Quinn before the apology was sent. He looked furious for a moment, then asked her to write down exactly what had been submitted. They contacted the tool provider through its support process and sought deletion, while avoiding promises they could not verify. The gallery's notice described both incidents, the actions taken and the remaining uncertainty. Rosa rewrote it without sending personal details to another service.

A donor replied that the explanation was clumsy and worrying, but at least it was understandable. Rosa kept that message beside the polished draft she had abandoned. At the next staff session, she demonstrated the difference between asking for help with generic wording and supplying a complete real email. Quinn introduced an approved process for handling sensitive material. Neither described the mistake as a useful lesson that somehow cancelled the harm it had caused.
